Program Policies

The following Community Library Training Program policies are subject to change. Please address any questions or concerns to the program coordinator.

Program Registration and Withdrawal

  • CLTP course registrations are accepted on a first come, first served basis from staff, volunteers and board members of public and Aboriginal libraries in British Columbia.
  • Applicants must be residents of British Columbia.
  • Applicants must be high school graduates or the equivalent.
  • Students require a good command of written English language skills.
  • Applicants wishing to withdraw from a course prior to or during a term must submit their requests in writing (letter, fax or email) to the program coordinator or program assistant.

Registration Fees

  • Payment of course registration fees must be received by the Public Library Services Branch, Victoria office, on or before the course registration deadline, and at least 2 weeks before the course start date. Receipt of payment after this date may result in the cancellation of an individual's course registration.
  • Separate cheques must be submitted for each course registration request.
  • Cheques should be dated for the first day of class (refer to the Course Offerings section of this site for exact details).
  • Individuals claiming the registration fee available to British Columbia public and Aboriginal library staff, volunteers and board members, must submit confirmation of their status.
  • Registration fees are 100% refundable within four weeks of the start of class (exact deadlines for withdrawals are announced at the beginning of term).
  • Requests for refunds must be submitted in writing (letter, email or fax) to the CLTP program coordinator or program assistant.
  • No refunds are available following the deadline for withdrawals.

During the Term

  • Each student is responsible for reviewing postings to the course bulletin board at least once per week for announcements about the course.
  • Each student is responsible for maintaining their own schedule to enable completion of all required course components by the end of term.

Graded Course Components

  • Students must complete unit 1 of the course within 1 month of the course start date and all other required learning activities, assignments, and quizzes or tests, by the last day of term.
  • Assignments and quizzes are submitted electronically via email or posted on the course web site, unless other instructions are provided.
  • A minimum mark of 50% is required on each graded course component in order to receive a final grade.
  • Each course assignment may be re-submitted once for re-marking, unless otherwise noted in a course.
  • A new quiz or exam can only be written if the first effort receives a grade of less than 50%.
  • A student's contributions to the required activity areas of a course are graded collectively at the end of term based on the overall quality of the ideas and comments posted.
  • Appeals of any graded course components must first be made to the course tutor in question. If a resolution can not be reached, the matter will then be forwarded to the CLTP program coordinator for a final decision.
  • Re-writes of assignments or quizzes must must be submitted on or before the last day of class if the first attempts were graded and returned prior to the end of term.
  • Re-writes of assignments and quizzes graded and returned following the end of term must be submitted within two weeks of being sent by the tutor.

Re-registration

  • Course participants who have completed at least half the requirements of a course, may apply to extend their registration by an additional fourteen weeks by paying the original registration fee again.
  • Re-registration requests and payment must take place no later than four weeks following the official end of a course; this four week period is counted as part of the fourteen week extension period.
  • No refunds are available for re-registration fees.
  • Requests must be made in writing (letter, fax or email) to the program coordinator.
  • Only one re-registration per person per course is permitted.
  • Individuals who do not complete a course by the end of their re-registration period may register in the next available session of the course, and must complete all course requirements again.

Transfer Credit

  • Transfer credit for courses taken at other institutions is awarded at the discretion of the CLTP program coordinator.
  • Applications for credit for courses completed in other programs must be submitted in writing to the program coordinator.
  • All applications must be accompanied by copies of any applicable transcripts and course outlines.
  • Credit will be awarded for a maximum of two courses completed as part of other programs.
  • Credit will be awarded only for courses completed within the five years prior to each request.
  • Transfer credit will not be granted for CLTP 101: Supervisory Skills.
  • Credit for CLTP courses at another institution is awarded at the discretion of the other institution.

Confidentiality

  • All CLTP student records are confidential.
  • Students requesting a transcript of their marks or progress in the program, must submit a written request to the program coordinator or program assistant, with instructions for forwarding the request to an educational institution or employer, as appropriate.
  • Student work may be shared with other students, or incorporated into program materials, only with the consent of the author and with appropriate acknowledgement.
